Most women’s ministry leaders anguish over decisions related to their budget. We often think that if we had access to just a little more, we wouldn’t struggle quite as much. Instead of focusing on what we don’t have, let’s focus on how we can best handle what we do have.
Make a list of all the supplies you’ll need. Include food, plates, napkins, serving items, decorations, prizes or giveaways, and supplies for other activities.
Circle everything that is essential. For the remaining items, decide how important they are. Cross them off if you can let them go. Place question marks beside the “maybe” items. Estimate costs of essentials as well as “maybe” items; then work through another round of cutting items. Keep a healthy perspective of what’s important. For example, if you’re planning a retreat, be certain journals and other essentials each woman needs to fully experience the event are prioritized over extravagant decorations and expensive giveaways. Growing women is more important than impressing women.
Your budget must take three major areas into consideration: 1) how much you believe is reasonable to charge women to attend, 2) how much you already have set aside for the event or can raise through sponsors or fundraisers, and 3) the priorities you set as necessities versus “dream” items.
When everyone on your team is on the same page with the budget, you’ll be able to trust each person to stick to the designated amount for her area.
